Integrate Microsoft Dynamics with Other Applications

Server Side Synchronization :

  • To store email and other messaging records in Dynamics 365, you need to synchronize your email system with Dynamics 365. There are two ways to do this: Server-side synchronization and Microsoft Dynamics 365 for Outlook (includes a synchronization agent)
  • If your users primarily use Dynamics 365 for Outlook on their desktop computers, Microsoft Dynamics 365 for Outlookmight be a better choice.
  • Email Router: The Microsoft Dynamics CRM Email Router acts as an intermediary application that provides server-to-server synchronization between Microsoft Dynamics CRM and Exchange or POP3/SMTP based email servers. The Email Router only synchronizes email messages. It doesn’t synchronize appointments, contacts, or tasks.
  • Server-Side Synchronization: Server-side synchronization will not only support email syncing but also appointments, contacts, and tasks with Exchange.
  • Server side Sync Enables multiple scenarios, including hybrid scenarios. You can use server-side synchronization to connect:

Dynamics 365 (online) to Exchange Online

Dynamics 365 (online) to Exchange Server (on-premises)

Dynamics 365 Server (on-premises) to Exchange Server (on-premises)

Dynamics 365 Server (on-premises) to Exchange Online

  • Server Side Sync Synchronize with POP3 email servers. You can use server-side synchronization to synchronize Dynamics 365 with Gmail, Outlook.com, Yahoo, and other POP3 email servers. Note, however, that you can’t synchronize appointments, contacts, and tasks with POP3 email servers.
  • Server Side Sync Enables Exchange  folder tracking. With folder tracking, users can simply drag email to an Exchange folder to track it automatically in Dynamics 365. Folder tracking works on any mobile device that supports Microsoft Exchange.
  • Correlation: Email correlation using email headers works best when email is processed using server-side synchronization. If you’re using the Email Router to process email, you can use tracking tokens or smart matching to correlate email activities with related records.
  • Tracking Token: Use tracking tokens to configure how Dynamics 365 displays them in the Subject line of the email messages. Tracking tokens provide 100% tracking accuracy. If you don’t want to see tokens in Subject lines, however, consider folder-level tracking, which also provides 100% tracking accuracy.
  • Folder Tracking:

Users can set up Exchange tracking folders, and then move messages to those folders to track them automatically on virtually any device. Folder-level tracking provides 100% tracking accuracy. Each folder is mapped to define how to set the regarding field on the emails.

Folder Level Tracking needs server side synchronization and folders to be under inbox. 25 folders per user account can be used for folder level tracing.

  • Smart matching:

Use smart matching to correlate email based on the similarity between email messages. Smart matching isn’t as accurate as tracking tokens or folder-level tracking.

SharePoint Integration:

  • With Microsoft Dynamics 365, you can use the document management capabilities of Microsoft SharePoint from within Dynamics 365. You can store and manage documents in the context of a Dynamics 365 record on a SharePoint Server, and leverage the SharePoint infrastructure to share, manage, and collaborate efficiently. Because the documents are stored on a SharePoint Server, non-Microsoft Dynamics 365 users can directly access the documents on the SharePoint Server, provided they have the appropriate permissions.
  • The document management feature requires that Microsoft Dynamics 365 (online) and SharePoint Online subscriptions be under the same tenant.
  • Use the SharePointSite and SharePointDocumentLocation entities to store and manage the SharePoint Server location records in Dynamics 365.

OneDrive for Business:

  • OneDrive can be the most preferred option to store private documents. While you can use Office 365 Groups for collaborative storage, SharePoint can be used for public documents.
  • Requirements for Onedrive Business integration
  1. Set up SharePoint integration with Microsoft Dynamics 365and have at least one team site
  2. Set up permission on the root SharePoint team site for all users who will use OneDrive for Business in Dynamics 365.
  3. For SharePoint on-premises, enable the Search service to access shared documents from other users.
  • The privilege for OneDrive for Business  is visible in the security roles  dialog only after OneDrvie for Business is enabled.

OneNote :

  • Set up OneNote Integration in Microsoft Dynamics 365 (online) so that a dedicated OneNote notebook is automatically created for the selected entity records in Dynamics 365. This feature provides you the ability to easily take notes in the context of a Dynamics 365 record in various formats such as pictures, drawings, formatted text (bullet points and tables), and voice recordings in a OneNote notebook. You can access the OneNote notebook directly on the activity wall in the Dynamics 365 web client or from the record form in the Dynamics 365 mobile apps.
  • OneNote integration can only be enabled for an entity when both the following are true:
  1. Server-based SharePoint integration is enabled between your Dynamics 365 (online) and SharePoint Online instances. OneNote Integration is supported only for SharePoint Online.
  2. Document management is enabled for the entity.
  • A OneNote notebook is automatically created for a record the first time you select the OneNote tab in the activities area in Microsoft Dynamics 365 (online).Once the dedicated OneNote notebook is created for that Dynamics 365 record.

Microsoft Social Engagement 

  • With Microsoft Social Engagement you can link social posts to Dynamics 365. Linking posts to Dynamics 365 lets you automatically create Dynamics 365 records from social posts that were found in Social Engagement by using the Automatic Record Creation and Update Rules feature in Dynamics 365.
  • Prerequisites to integrate with Social Engagement with Dynamics 365 online are
  1. You have a license assigned for both Dynamics 365 and Microsoft Social Engagement.
  2. You have a System Administrator security role in Dynamics 365.
  3. You have an Administrator user role in Social Engagement.
  • Dynamics 365 stores the datafrom Microsoft Social Engagement as a SocialActivity and a SocialProfile entity, and subsequently may convert the SocialActivity into a different record type based on predefined rules Any Dynamics 365 user with the required permission to access Dynamics 365 records will be able to access and/or process this data.
  • You can add the Social Insights controls to the existing system dashboards or to a new dashboard or on a form

Yammer:

  • Yammer a private social network that gives colleagues at your organization a central place to have conversations, create and edit documents, and share information without sending a single email or attending any meetings.
  • Pre-requisites to integrate with Dynamics 365 Online are
  1. Before your organization can use Yammer in Dynamics 365, your organization needs to buy Yammer enterprise licenses.
  2. Make sure you have the System Administrator security role or equivalent permissions in Microsoft Dynamics 365.
  3. You’ll also need to have verified system administrator privileges for your organization’s Yammer account, plus both the Write Organization and Configure Yammer privileges.
  • Dynamics 365 only supports connecting to the primary Yammer network. Connecting to External Networks in Yammer is not supported.
  • All user posts (conversations) are stored in Yammer, not in Microsoft Dynamics 365.
  • All system posts are stored in Microsoft Dynamics 365.
  • If the Post to Yammer Activity Stream rule (or posttoyammer attribute) is set to True in Post Rules Configuration, that activity will post to Yammer.

Office 365 Groups:

  • Office 365 Groups are a shared workspace for email, conversations, files, and events where group members can collectively get stuff done.
  • You can use groups to collaborate with people across your company, even if they don’t have access to Microsoft Dynamics 365 (online).
  • Pre-requisites to integrate with Dynamics 365 Online are
  1. Dynamics 365 (online)
  2. This feature requires that you have an Office 365 subscription or a subscription to an online service such as SharePoint Online or Exchange Online.
  3. For full Office 365 feature integration with Microsoft Dynamics 365 (online) and Dynamics 365 (on-premises), you’ll need Office 365 Enterprise E3 or later. Skype for Business PSTNcalling and conferencing requires Office 365 Enterprise E5. Other Office 365 plans are not supported.
  4. Exchange Online
  5. To use document storage with Office 365 Groups, you will need SharePoint Online and access to the group OneNote notebook.

Office Delve

  • Office Delve in Dynamics 365 is a new way to find and discover relevant and trending documents across your organization. Delve searches across your company and uses Azure Machine Learning to provide a view of the documents you are most interested in based on who created, viewed, edited, or shared the documents. Delve is a new dashboard component that can be added to any user or system dashboard so you can view trending information from within Dynamics 365.
  • Pre-requisites to integrate with Dynamics 365 Online are
  1. Dynamics 365 (online)
  2. This feature requires that you have an Office 365 subscription or a subscription to an online service such as SharePoint Online or Exchange Online.
  3. For full Office 365 feature integration with Microsoft Dynamics 365 (online) and Dynamics 365 (on-premises), you’ll need Office 365 Enterprise E3 or later. Skype for Business PSTNcalling and conferencing requires Office 365 Enterprise E5. Other Office 365 plans are not supported.
  4. SharePoint Online
  5. To use email attachments, you will need Exchange Online.
  6. Enable Server-Based SharePoint Integrationand have at least one active SharePoint site.

Dynamics 365 App Modules

  • App is a collection of related entities, dashboards, and business process flows that will allow you to streamline and tailor Dynamics 365 for Sales so that your end users in different business areas can see only the pieces of the product that matter to them.  It also allows you to filter sub components of what you add – for example, your users only see a specific view of an entity you’ve added.

PowerApps

  • PowerApps lets you quickly generate, customize, share, and run mobile apps with little or no code. By using the Dynamics 365 connector, you can create useful mobile apps to share with your organization in just a few minutes.
  • Specify the level of permissions while sharing an app
  1. User: Users or groups can run the app but not share it.
  2. Contributor: Users or groups can run the app, customize it, and share the customized version further to other users.

 

Dynamics 365 App for Outlook:

  • Microsoft Dynamics 365 App for Outlook paired with server-side synchronization is the preferred way to integrate Microsoft Dynamics 365 with Outlook.
  • Requirements are
  1. You have the Use Dynamics 365 App for Outlook security privilege.
  2. Your organization synchronizes mailboxes with server-side synchronization.
  • Dynamics 365 App for Outlook: supported for each client/configuration of Dynamics 365 and Exchange.
  1. Outlook on the web supports Internet Explorer 10, Internet Explorer 11, Microsoft Edge, Safari 9, Safari 10, Firefox, and Chrome.
  2. Mobile Outlook on the web supports Windows 8.1, Windows 10, iOS 8, iOS 9, iOS 10, Android KitKat (4.4), Android Lollipop, Android Marshmallow, and Android Nougat.
  3. Tracking email in compose mode and tracking appointments requires Exchange Server 2013 CU14 or Exchange Server 2016.
  4. Tracking contacts is supported only on Exchange Server2016 CU3 and Outlook 2016 16.0.6741.1000 and later.
  5. Adding email templates, Knowledge Management articles, and sales literature is not supported in Mobile Outlook on the web.

  • With Dynamics 365 App for Outlook, you can:
  1. Tap the power of Dynamics 365 while working in the familiar Outlook environment.
  2. Track incoming or outgoing email wherever you are, as long as you have access to a browser.
  3. Track email or view Dynamics 365 data from a desktop computer or phone.
  4. Link an incoming or outgoing email record to an existing record in Dynamics 365. For example, you might want to link an email message to a specific account or opportunity.
  5. Convert an email message into a new Dynamics 365 record.
  6. Find out whether an email message is already tracked, and change the regarding record (the Dynamics 365 record the message is linked to).
  7. Create Dynamics 365 contact records for people on the From list that aren’t already included in the Dynamics 365 database. You can also create new Dynamics 365 records for any entity (record type), as long as the entity has been enabled for mobile and for multi-entity search.
  8. Preview information about contacts and leads stored in Dynamics 365. For example, you can find a phone number or company name for a contact or lead, or preview the last and next activities for a contact or lead.
  9. Open Dynamics 365 records directly to find or enter more detailed information.

 Microsoft Dynamics 365 for Phones and Tablets

 

  • Use the Dynamics 365 for phones and tablets app for your sales, in-app marketing, and customer service tasks when you’re out in the field. No matter where you are, you can check your dashboards for analytics on your team’s performance, or advance an important opportunity toward a successful close.
  • Microsoft Dynamics 365 uses a security privilege, Dynamics 365 for mobile, to provide access to Dynamics 365 for phones and Dynamics 365 for tablets. The privilege is pre-configured for Sales roles, but not other security roles, so you may want to add to other roles for your teams.
  • Microsoft Dynamics 365 users can work with mobile application in offline mode, even when the device is disconnected from the network. The application provides a rich offline experience which lets you to work with all basic commands like create, read, update, and delete and business processes – so your productivity is not impacted when you are not online.
  • Dynamics 365 provides offline service by replicating Dynamics 365 data in Azure, and synchronizing the data from the Azure to mobile client devices. An administrator can filter the data for offline usage at these two stages.

  • Reconfigure the Dynamics 365 for tablets app
  1. Reconfiguring deletes all data and metadata from the cache, though you shouldn’t rely on this as a security measure.
  2. If you sign out of one organization and sign in to another, and then use the Reconfigure option on the organization you signed in to, your metadata will still remain for the organization you signed out of. To remove your metadata from the organization you signed out of, you’ll need to sign in to it and use the Reconfigure option.
